1. Who we are

Roam Digital Ltd (“Roam Digital”, “we”, “us”, “our”) is a paid advertising consultancy. We are registered in England and Wales under company number 12004081, and our registered office is Silverstream House, 45 Fitzroy Street, London W1T 6EB. We are the data controller for the personal data described in this policy. You can contact us about privacy at any time at hello@roamdigital.co.uk.

This policy covers two things: how we handle information from visitors to roamdigital.co.uk, and how our internal tools (the “Roam Digital” application) access and use data from Google services, including the Google Ads API, when a client authorises us to manage their accounts.

2. Information we collect from website visitors

  • Information you give us: your name, email address, company, website and anything else you choose to include when you fill in a form, book a call, buy an audit or email us.
  • Usage information: pages visited, referring site, device and browser type, approximate location and similar technical data, collected through cookies and Google Analytics.

We use this information to reply to enquiries, provide the services you ask for, send invoices, improve the website and, where you have agreed, send occasional updates. Our lawful bases are your consent, the performance of a contract with you, and our legitimate interest in running and improving our business.

3. Google user data accessed through our application

When a client (or their agency) grants us access, our application connects to Google services using Google’s OAuth sign-in. Access is only ever given by the account owner or an authorised administrator, and it can be withdrawn at any time.

What we access. Depending on the permissions granted, this can include:

  • Google Ads: account structure and settings (campaigns, ad groups, keywords, ads, assets, budgets, bidding, targeting, audiences and change history), performance data (impressions, clicks, cost, conversions and conversion value), search term reports, and product and feed status for Shopping and Performance Max campaigns.
  • Google Analytics and Google Search Console: aggregated traffic, conversion and search performance reports for the client’s website.
  • Google Merchant Center: product status and diagnostics, as returned through the Google Ads API.

We do not ask for, and our application does not access, the passwords of any Google account.

How we use it. We use Google user data only to provide the service the client has hired us for:

  • managing, optimising and troubleshooting the client’s advertising accounts, including making changes the client has approved;
  • producing reports, audits and recommendations for that client;
  • running automated checks that alert us to problems in the client’s account, such as disapproved ads, broken tracking or wasted spend.

What we never do with it. We do not sell Google user data. We do not use it for advertising, retargeting or building profiles of individuals, and we do not use one client’s data for another client’s benefit. We do not use it to train general-purpose artificial intelligence or machine learning models.

Limited Use. Roam Digital’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Who else sees it. Google user data is seen only by Roam Digital staff working on the account, and by the client or the partner agency the client has asked us to work with. We use a small number of service providers to process it on our behalf, under contracts that bind them to keep it confidential and use it only for our instructions: our cloud hosting and storage providers, and an AI processing provider (Anthropic) whose commercial terms do not allow our data to be used to train its models. We do not share Google user data with anyone else unless the law requires it.

How long we keep it. We keep account data only while we manage the account and for up to 12 months afterwards, so that we can answer questions about past work and meet our accounting and legal obligations. After that it is deleted. A client can ask us to delete it sooner by emailing hello@roamdigital.co.uk.

Removing access. You can withdraw our application’s access at any time from your Google Account at myaccount.google.com/permissions, or by removing our access in Google Ads (Admin, then Access and security). Once access is withdrawn our application can no longer read or change your data.

4. Cookies

Our website uses essential cookies to work properly, and analytics cookies (Google Analytics) to understand how the site is used. Analytics cookies are only set with your consent, which you can change at any time through the cookie banner or your browser settings.

5. Sharing your information

We do not sell personal data. We share it only with the service providers that help us run the business (website hosting, email, payments, accounting and the tools described above), with professional advisers where needed, with a buyer if the business is ever sold, or where the law requires us to.

6. International transfers

Some of our service providers are based outside the UK, for example in the United States. Where personal data leaves the UK, we rely on the safeguards UK law requires, such as the UK International Data Transfer Agreement or the UK Extension to the EU-US Data Privacy Framework.

7. How we protect data

Access credentials and account data are stored on password-protected, access-controlled devices and services, and are available only to the people who need them to do the work. Connections to Google services are encrypted in transit. No system is completely secure, but we take reasonable steps to protect the data we hold and review our access regularly.

8. Your rights

Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to data portability, and to withdraw consent at any time. To use any of these rights, email hello@roamdigital.co.uk. We will reply within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk. We would appreciate the chance to put it right first.

9. Children

Our website and services are for businesses and are not aimed at children under 16. We do not knowingly collect data from children.

10. Changes to this policy

We will post any changes on this page and update the date at the top. If a change affects how we use Google user data, we will tell affected clients before it takes effect.
